Adult Sunday School Superintendent

Christian Education Committee

 

Detailed responsibilities of the Chairman:

 

To attend and Chair all meetings (unless pre-arranged with Vice-Chair).

To assign a secretary to record minutes of meetings.  This person is usually the Member-at Large but may be another member of the committee.

To plan yearly meeting agenda and provide a copy of this to each committee member.  This will include where the meeting will be held, who is responsible for devotions and refreshments and the prescheduled agenda items for each meeting.

To prepare agenda for each meeting, making sure that each committee member receives a copy at least one week prior to the scheduled meeting.  This will include the same information as the yearly agenda, as well as new items.

To make sure those meetings are included on the monthly church calendars as well as placed in the bulletin the Sunday prior to the meeting.

To copy “Christian Education Committee Responsibilities & Job Description” handout for each committee member.

To keep accurate records of all business pertaining to the committee.  A notebook is passed on after each three-year succession.

To be, or assign someone to be, responsible for any correspondence regarding the committee and its actions.

To keep the church body informed of decisions made by the committee.

To alert committee members of any decisions pertaining to the committee.

To receive information and promote any meetings, conventions, workshops, etc...that would benefit the teachers, sponsors or church members in areas covered by Christian Education (i.e.:  Sunday School, Vacation Bible School, Dunamis, Teachers, etc...).

To function as a Church Council Member, attending the meetings and reporting Christian Ed decisions to them, as well as reporting back to the Christian Ed committee about Council decisions concerning them.

To meet with various committees in the Education Department when those committees have planning sessions and request input from Christian Ed.

To submit an Annual Report for the fall church business meeting.

 

Detailed responsibilities of Christian Education Vice-Chairperson :

Cover for the Chairperson in their absence, as arranged before hand, at Church Council meetings, Christian Ed meetings, etc...

Assist in drawing up agendas for committee meetings, if asked to do so.

Help Superintendents distribute periodicals at the end of each month if asked to do so.

Keep copies of minutes and workshops on file in designated notebook.  (Notebook is passed to each new Vice-Chair)

Assist Chairperson in any way requested.

 

Detailed responsibilities of the Christian Education Committee Member :

Those on Christian Education need to be open, aware and willing to listen to the educational needs of the church and participate in scheduled meetings.

Represent and be informed about the area you represent: adult, youth, primary, junior at the local, conference and church-wide levels.

Work to create a vision of purpose and goals, long and short term, and find ways to achieve these in the congregation.

Help plan teacher training sessions and attend at least those in your area of representation once a year.

To be acquainted with Sunday School, Bible School and Sunday Evening Children's Church material that are used in our congregation.  It is suggested that the Christian Education Chair visit these areas of teaching some time during each year.

Be a support system to the teachers.

Evaluate ourselves as a committee on a yearly basis.

Overseeing the giving counsel or assistance to the committees and person listed on page 7 &  8 of the Church Constitution.

To approve, beforehand, any changes in curriculum for the departments as listed on page 8 of the Constitution.

To arrange for one elective class during the winter or spring Sunday School quarters.  This class being open to all adult class members.

To plan one or more mixed-age Sunday School class times during the year involving all Dunamis through adult persons and making sure that the teachers are informed of the event ahead of time.

To show appreciation to the teachers and helpers of Sunday School, Bible Memory, Bible School, as well as GMSA, Torchbearer & Dunamis Sponsors at some time during the year.  This has been done by sending thank-you cards, giving gift certificates and by hosting an appreciation supper, ice-cream social or breakfast.

Supervise Child Abuse Prevention training and refresher courses.

To SUGGEST NAMES of (but not contact) persons to fill the jobs as seen on pages 8-10 in the Church constitution.  Then to submit these suggestions to the CHURCH COUNCIL.  These jobs being:

Vice-Chairperson for Christian Ed

Member-at-Large for Christian Ed

Historian

Crooked Creek Christian Camp Representative

Adult Superintendent (Who in turn finds teachers with the help of the Christian Ed committee.)

Church Secretary

 

Detailed responsibilities Position:

  Gather information, type and print the Weekly Bulletin

 Prepare the announcements for projector

 Compile, print out, and place the Monthly Calendar in the mailboxes

 Give Attendance sheet to Greeters and transfer information to  spreadsheet.

 Mailboxes – put new names on and remove unused

 Purchase office supplies as needed.

 Maintain office equipment

 Respond to information request such as MCUSA, Central Plains, IMS, etc

 Maintain the Church Directory

 Stuff mailboxes with information from MCUSA, Central Plains, IMS, etc

How is the position filled :

 Two to four Council Members are appointed by the Council to interview the applicants and decided who should be hired.

 

Community Outreach Committee

 

 

Detailed responsibilities of the Committee:

 This committee is responsible to look for opportunities in the community to help build relationships by doing service projects and caring for people in need.

 

 In the past we helped with the Community Thanksgiving Dinner at

WACO High School and provided an appreciation gift to the Parkview Home

Employees each year.

 

 We are also responsible to fill the positions of Sunday Morning Door Greeters and provide participants for the 3rd Wednesday Evening of the month

Parkview Home Program.

 

We also provide a list of people willing to provide transportation for persons from Bethel and our community for appointments.

 

Other activities for community involvement are discussed and followed up.

 

Turn in a year end report of activities/functions/etc to Church Secretary for fall Business Meeting report.

 It is very important to keep an updated record of minutes of the meetings and all things  discussed and acted on and pass them on to the next committee chairman.

To be on this committee you need to have a desire to reach people in the community with the gospel.  You must take the responsibilities of this committee seriously.

 

Conference Delegate

 Detailed responsibilities of the Positions:

 Attend the Annual Conference Business Sessions to represent the congregation.  Report to the congregation the information that was discussed/decided at the Annual Meetings.

Detailed responsibilities of the Chairman:

Chairs the monthly and special Council Meetings.

 

Asks all Council Members at least two weeks prior to the next meeting if they have an Agenda item.

 

Makes sure all Council Members have an Agenda for the upcoming Monthly Council Meeting.

 

Arranges for Devotions/Snacks for the monthly meetings.

 

Chairs both the Spring and Fall Business Meetings.

 

Places a Bulletin Announcement 3 weeks prior to the Spring and Fall Meetings to remind the Congregation and to ask for Agenda Items.

 

Two weeks prior to the Spring and Fall Business Meetings, makes sure the Agenda is placed in the Mailboxes.

 

Other duties as assigned by the Church Council.

How is the position filled :

Discerned by the Council after the Fall Business Meeting

 

Council Secretary

 Detailed responsibilities of the Chairman/Position & Committee:

 The primary job for council secretary is to take the minutes during the meetings.

For the spring business meeting you will need to make a spring ballot so positions can be affirmed by those in attendance. This ballot needs to be done and put in the mailboxes of all members 2 weeks prior to the meeting. You will also need to count how many members are in attendance at the meeting. You will read the minutes from the Fall Business meeting so they can be approved.

For the Fall Business meeting you will need to prepare the business report. It's a good idea to begin gathering these about a month early to give you time to put it together. If there are positions from the spring business meeting that were not affirmed because there was no name to put down, you will need to have a ballot to affirm those positions. The annual reports need to be put in the mailboxes of all members the Sunday prior to the meeting, and the ballot should be placed in the mailboxes of all members 2 weeks prior to the meeting (if you have one). You will read the minutes from the Spring Business meeting for approval.

The minutes from the business meetings are typically typed and displayed shortly after the meetings have taken place. They are hung up on the bulletin board across from the bathrooms and have "unapproved" written on them. This gives people a chance to see what was discussed without waiting until the next Business Meeting to find out.

In February, start working on the Spring Ballot.

 

In March, appoint committee (which includes pastor, an elder and two other council members) to work on the election of elder process.

Pastor contacts nominees.

Committee decides whether to use lot or vote for next elder.

Work at completing elder nomination by June.

If a vote is to be taken by the congregation, notice must be given 2 weeks in advance.

 

Crowded Closet Representative

 

Detailed responsibilities of the Position:

 Attend 2 Crowed Closet meetings a year.  Crowded Closet will email you the monthly letter for you to put in mailboxes.   If there is anything that is happening that the church needs to be aware of put it in the bulletin. (ex: bake sale, quilting days, etc.) For the bake sale if anyone needs their baked items taken make sure they get there.

Elder Board

 Detailed responsibilities of the Chairman/Position & Committee:

 To provide counsel to the pastor.

 

To assist in administration of congregational policies.

 

To provide leadership in preparation for the administration of the ordinance (Communion, Baptisms, ect).

 

To share in the congregational program of visitation and to minister to the  welfare needs of the congregation.

 

To provide congregational leadership in public services in the absence of the pastor.

 

To serve as ministerial committee in the event of a pastoral vacancy.

 

To lead the congregation in an evaluation of the pastor every three years.

 

Appoints a Women’s Ministry leader (yearly around September) and meets with leader once a quarter.

How is the position filled:

A Nominating Committee is formed by the Church Council that looks over the nominations to determine who will go forward in the process (those with the most nominations).  The Committee consists of the Pastor, 1 Elders, and 2 other Council Members.  An Alternative is also selected in case  a member of the Nominating Committee is nominated.  Nominations are given by the church members on a Sunday Morning that is chosen by the Nominating Committee.  If there is 1 person with the majority of the nominations, that person will be affirmed by a ballot.  If there are an even number of nominations, then the Nominating Committee  will  discern if the Elder will be chosen by the Lot or election by the congregation.

 

Important information to pass on:

The Elder Board is composed of three elders and all ordained or licensed persons serving the congregation.

The Elder Board meets approximately every three weeks.

Elder Board determines distributions from Compassion Fund.

Elder Board is in charge of the 1st Sunday evening prayer meeting each month.

The Elders ask those that have been discerned by the Church Council for the open positions on the ballot.  If the person agrees, their name is placed on the Spring Ballot.

 

Everence Representative

 

Detailed responsibilities of  Position: (1 Person)

Connect the needs of the people at Bethel with Everence Stewardship Resources in the following ways:

 Promote special Everence events (Stewardship University and Investment/Retirement Workshops),  share with the congregation new stewardship resources, apply for Sharing Fund Grants for those in financial need, and refer those with questions on Insurance, Investing, and Estate Planning to the proper Everence Partner.

 

Place Quarterly pamphlets in the Church Mailboxes.

 

 Meet with the Everence Church Relations Manager, Everence Counselor, and Everence Foundation Representative  once or twice a year.

 

Make sure the local Everence Office has a current Church Directory.

 

 Inform the local Everence Office of the activities by submitting  Quarterly Reports.

 

Turn in a year end report of activities/functions/etc to Church Secretary for fall Business Meeting report.

How is the position filled:

Important information to pass on:

Everence holds a Spring Advocate Appreciation Dinner and Fall Advocate Workshop.  Both are usually held within an hour's distance from Bethel.

 

Reaching Out Committee

 

Detailed responsibilities of the Chairman & Committee:

(Fellowship and Service along with Family Life have been combined to one committee)

a ) Ordering flowers or age appropriate arrangement (i.e.: balloons, stuffed animals, etc... for children or teen-agers) for Bethel's church members who are hospitalized overnight or longer. These need to be ordered the day of admittance or the day of surgery. The gift arrangements can also be sent to the person's home if hospitalization is short. Certain flower shops are suggested and you can either be charge (bill mailed to Bethel treasurer) or you can purchase and turn receipt into church treasurer to be reimbursed.

b) Ordering and placing a single rose bouquet at the front of the sanctuary on the first Sunday following a baby's birth. Also, making sure that the family receives the flower following the morning worship service.

 

c) Preparing and posting a Food Chart for Vacation Bible School teachers and helpers from Bethel. Any person who is a student or still lives "at home" is not included on this list. The chart needs to be posted and advertised at least 2-3 weeks before Bible school begins. It's the committee's choice what they'd like to place on the food chart (i.e.: casseroles every day, casserole/dessert/casserole/salad/casserole, etc.)

 

d) Should a person's own Sunday School class be unable to do so, the Family Life Committee takes charge of the following mission. Church members who are ill, handicapped or just returning home from the hospital may have special homecare needs for a time. the committee should arrange for food to be taken into the home, for babysitting, for help with household duties, grocery shopping, trips to therapy or the doctor, etc.

 

e) Planning and preparing a schedule of someone to take charge of monthly floral arrangements for the front SW corner of the sanctuary. (This schedule runs January to December so there is not a problem of getting people in place for the following month after you take your position on this committee.) This has been done in the past by assigning Sunday School classes, asking for volunteers to take a turn, requesting memorial floral arrangements for special occasions such as Christmas or Mother's Day. After a list is prepared, a copy should be given to each person involved in the year to come, the Church secretary who will see that it is placed on the bulletin board as well as put on the monthly calendar. It's a good idea to remind those in charge for the coming month as the year passes.

 Once to plan yearly list of SW corner of sanctuary deco and once to plan VBS teacher "food" list. Conversing back and forth throughout year via phone/email to discuss needs to be taken care of.

 

Term Length:

 2 years (first year as assistant, second year as head.) The year begins in September and ends the following August.

 Appointed by "Mennonite Women"

Fellowship & Service

 

Detailed responsibilities of the Chairman:

Coordinating meals for  families during disaster, illness, and emergencies.

Parking cars at weddings & funerals.

Prayer blankets for individuals with surgery/extended illness.

Organizing the Blood Drive twice each year.

Only as necessary- if needed.  They do not meet on a regular basis.

 

Term Length:

 3 years

 

How is the position filled :

Important information to pass on:

 This group does not meet routinely. The Chair should however, touch base with the other members to see if they have anything to report.  This group is not a decision making group, but work independently in their roles.

 

Food Committee

 

Detailed responsibilities of the Chairman/ Committee:

 Responsible for planning, setting up tables, providing & serving food, and cleaning up for/after potlucks, funerals, and other meals that involve the entire church. Does not include family rentals of church.

 

 Responsible for "spring" cleaning the entire kitchen every year (cabinets in & out, defrost freezers, clean stoves, floors, pantry, etc).

 

 Work with Music Committee, Bible School and Sunday Evening to help provide or serve food for special events such as Easter Breakfast, Bible School program refreshments, soup suppers, etc...

 

 Make sure the kitchen is well stocked with paper products such as: plates (small and large), napkins, plastic wear, cold drink cups; salt/pepper, creamer/sugars, etc... Currently Royden and Carol Boshart take care of providing Styrofoam  coffee cups.

 

 Keep a detailed record in the Food Committee Book of what was purchased, donated, and served at each funeral or event for future reference. Must also record what was left over, or a shortage of certain items.

 

 Fareway Store, Washington, has an account for Bethel, where items can be charged, then billed to Bethel.

 

 If the church kitchen is in need of larger items there is a "Kitchen Fund" from which the committee can purchase items, then give bill to Church Treasurer.

Mennonite Women appoint

There is a book that is passed from Head/Chair of Committee each year with pertinent information.

 

GMSA Sponsor

Detailed responsibilities of the Position:

GMSA are girls from Bethel (and their friends) who are in 3rd to 6th grade.  The

2 sponsors need to plan and lead one service and/or fun activity for each month

of the year for this girls group.  We usually meet on the 2nd Thursday of each

month unless a special activity works better on another day.

 

Committees involved in:

 GMSA sponsor is on Youth council (2nd year as sponsor)

 

Frequency of Committee meetings:

 Youth council meets as needed

 

Term Length:

 2 years (1st year as helper, 2nd year as leader)

 

How is the position filled (nominated ,affirmed, voted, or appointed) :

Youth Council appoints.

 

Important information to pass on:

Training is received the 1st year so you know what to do the year you are in charge.

 

 

Guidelines for the Discernment Team

Work with others team members to look at people’s gifts/talents and match them up to the positions on the ballot.

 

Ask those with the gifts/talents if they would be willing to have their names be placed on the ballot for affirmation.

 

When people agree to be placed on the ballot, let the church council know for their affirmation.

 

Inform Council Chairperson on the team’s progress each month so it can be brought to the Council.

 

Ballot should be completed by June 1st each year.

 

This team will meet beginning January 2015 for a trial period of one year.

Historian

 Detailed responsibilities of the Chairman/Position & Committee:

 Collect and file any Historical information involving Bethel Church happenings (funerals, fund raisers, church special meetings, photo directories, etc.)

 Collect and file three (3) bulletins each week. At the end of the year, one stays in the Church file; the second is sent to Kalona Mennonite Archives; the third is sent to Mennonite Church USA Archives.

 

 Encourage Church family to submit items for History Files.

 

Turn in a year end report of activities/functions/etc to Church Secretary for fall Business Meeting report.

Janitor Duties

 As the Annual MCC Sale gets closer, the MCC Representative will attend around 2-3 meetings to prepare.  Around 4 weeks prior to the Sale, each Sunday morning, the Rep will give a short presentation on "Penny Power",  and take an offering.  The Rep will also pass on other information in regards to the sale.

Detailed responsibilities of the Chairman & Committee: (3 Members)

In September the committee meets and makes up a schedule for the coming

year for the special music/offertory ( try to remind those in charge a couple of weeks in advance, by email)

 

A copy of the annual special music/offertory schedule should be given to the church secretary, sound man, & pastor.

 

In September someone checks with the sound man to see if he wants to choose the CD selections (on those Sundays) or if a committee member should supply   him with selections.

 

For the last number of years, the Music Committee has been responsible for the Christmas program, which has usually been on a Sunday evening in December.  (sometimes they have requested help from the Food Committee  or the Sunday Evening Comm.)  The program has consisted of a variety type program or a

Christmas play, a choir, or a Children's musical.

 

For many years the church has had a Sonrisen Breakfast, which is held Easter morning at 8:00.  The Music Committee  is the one that has planned and  carried out this service. The 'breakfast' has been a variety of things. Some years the congregation was asked to supply food (such as pastries and fruit) and other times several  people were asked to make cinnamon rolls, and the Music Committee  made and served breakfast casseroles and mixed fruit.  Usually juice and coffee were also served.  The committee  also planned a short program, such as a skit, special music, a reading, devotional, and congregational singing.

 

On the Sunday morning that the pastor preaches at Parkview Home, the Music Committee  arranges someone to go there and supply either special music or lead  congregational singing.

 

The Music Committee  is responsible to seeing that the piano is tuned, if needed, each year (preferably in the spring after the cold winter in the sanctuary)

 

In the February & March, the Music Committee. asks the Worship/Song leaders for the coming year

 

Turn in a year end report of activities/functions/etc to Church Secretary for fall Business Meeting report.

Primary/Junior Sunday School Superintendent

 

Detailed responsibilities of the Position:

 Responsible for getting teachers to fill all Sunday School class positions. This can be through bulletin or verbal announcements, cards/letters in mailboxes, etc...

 Responsible for dividing or combining Sunday School classes to balance numbers in each class. (Example: 3-4 Year Olds, K-2, 3-5, 6-8 grades), each year the dynamics will change.

 

 Consider ages of students before ordering materials to make certain the subjects are not too "young" or too "old" for the class members.

 

 Order Sunday School material each quarter, making sure all material is being used before reordering. An order sheet is sent to the Superintendent each quarter with previous purchases on it. Fill out form, add up total costs, then give form to Church Treasurer who will add a check for total amount and place order. This saves some money each quarter.

 

 Purchase and restock necessary supplies for entire department.

 

 Prepare Sunday School Nursery Schedule for entire year; contact Nursery Attendents each month to remind them of duties; place list in church bulletin and on monthly calendar.

 

 Keep teachers informed. Encourage teachers! Visit Classrooms to encourage and get to know students.

 

 Yearly Teacher Appreciation Gifts are given through Christian Education Committee, but Superintendent helps with this decision.

 

  During the year, arrange for Sunday School Classes (one at a time) to actively share in morning worship time using scriptures, songs, or skits. This keeps SS in the minds of everyone!

 

 Optional: Recognize Birthdays of Teachers, and/or Students.

 

 Send encouraging notes to teachers during the year!

 

 Keep main room cabinets clean and organized.

 

 After each year, make certain the classroom cabinets are cleaned and restocked with regular supplies (scissors, crayons, markers, etc).

 

Responsible for maintaining the south foyer bulletin board - change by month or season.  This can be assigned to another person.

Detailed responsibilities of the Chairman & Committee:

 This committee is responsible to arrange fellowship activities for the congregation/community the third Sunday evening of the month.  Activities have included, picnics, hayrack ride, game night, speakers ,singing groups, and a Sedar Meal.

 

The chairman is responsible for arranging and leading the groups meetings;

keeping a list of the years activities and submitting these to the secretary for

the annual business meeting and to keep in the Sunday Evening Committee binder for future committee's reference.

 

Committees involved in:

 This committee works with the Worship Committee with the Chairman attending  that committee's meeting.  This committee also works with the

Music Committee especially at Christmas.

 

Frequency of Committee meetings:

 Quarterly with the Worship Committee.

As needed within the Sunday Evening Committee

 

Term Length:

 3 years and the third year you are the chairman.

 

How is the position filled :

 The chairman keeps a record of the programs given for the year. There is a notebook to keep these which provides help to next year committee.  At the end of August a written report that includes the programs for the year is given to the Secretary for the Annual Report..

 

Torchbear Sponsor

 

 

Detailed responsibilities of the Position:

 Torchbears are boys from Bethel (and their friends) who are in 3rd to 6th grade.  The

2 sponsors need to plan and lead one service and/or fun activity for each month

of the year for this girls group.  We usually meet on the 2nd Thursday of each

month unless a special activity works better on another day.

Trustee

 Women's Ministry Director

 

Detailed responsibilities of the Position:

 The Director is responsible to encourage Bethel women to feel  accepted and loved by the church fellowship.  To accomplish this task, the director has chosen a  Sister Care Team.  The team members work individually and periodically meet together for  encouragement and prayer. Communication between director and team members  is generally done by e-mail. Devotionals and prayer requests are sent by  e-mail.

 

 The director developed a Spiritual Caring Wheel and a Practical  Caring Wheel for the Sister Care Team to  use as their compass and gave lists of ideas to be used in their  individual callings. They also received the Mennonite  Women USA booklet giving guidelines on helping women to care for  themselves and others.

 

Committees involved in:

 This is not a committee,  this is a Team.  These women are not elected.  They have been asked by the director to be  on this team  because she saw the Lord working through them reaching out to people at  church, work or community.  There is no set number of women on the team  and they may stay on the team as long as they feel the Lord calling them to this ministry.  Other women may be called to the team.

 

Frequency of Committee meetings:

We met only at the beginning to  discuss how we wanted to organize and to go through the  Mennonite Women USA Sister Care Booklet.  The frequency of meetings will be at the  discretion of the leader.  We meet only for prayer meetings right now.

 

Term Length:

 There is a Director and Assistant Director with two  year terms, with one new member being appointed annually as Assistant.  The Assistant Director  moves up to Director. (see Bethel Constitution)

 

How is the position filled :

The  Elders and the Current Director prayerfully discern names and then ask if they are willing to serve.  If that person is willing, they are appointed.

 This ministry was started in 2003 to aid the pastor and elders in  ministering to and coordinating women's opportunities to help women in  need. These are the guidelines she has been given:

 

 

Worship Committee

 

 

Detailed responsibilities of the Chairman/ Committee:

 Worship chair is responsible for setting date of committee meetings and informing committee members of date, location, etc.

 

Worship Chair should send out agenda at least a week before scheduled meeting

 

Worship Chair is in charge of running the meeting.  Each committee member is given opportunity to voice any concerns, ideas, etc.  The focus of our committee is to create a worshipful attitude/atmosphere on Sunday morning which brings honor and praise to God, offering an effective and meaningful experience to the participant.

 

Worship Chair is in charge of assigning nursery workers during the worship service for the year.  Two workers are assigned each Sunday morning. We also provide snacks for the nursery.  Chair should also keep nursery straightened up, periodically inspecting toys, cleaning, etc.

 

Responsible for finding ushers for the Spring Ballot.
